SUBJECT: Activities Calendar - Coordinating, Listing and Scheduling

1. The purpose and functions of the University Activities and
Coordinating, Listing, and Scheduling Center:
A. To maintain at the Information and Scheduling Desk of the
University Center a central activities calendar under the
supervision of the Facilities Reservationist.
B. To coordinate the official non-curricular activities
calendar (this is not to imply actual scheduling) for
information and dissemination purposes.
C. To coordinate scheduling of facilities with Public Service
and Continuing Education and other academic scheduling
personnel.
D. To provide a listing of scheduled student activities to the
Information Center (Central at Patterson) and publication
in the monthly Calendar of Events.
2. Procedures for submitting activities to the Coordinating and
Scheduling Center (Scheduling Desk, University Center,
telephone: 678-2042):
A. In order to daily update and maintain a current listing of
events on and off campus, all activities and events as they
are scheduled, are to be submitted to the Coordinating,
Listing and Scheduling Office in the University Center by
one of the following methods: (1) Copy of the reservation
form; (2) University Center Campus Wide Calendar of Events
Form *(See attachment); (3) by telephone; (4) by memorandum;
(5) in person at the Scheduling Desk in the University Center.
B. Information about activities and events on and off campus
will be maintained in the master calendaring book and
computer.
C. A cross reference system will be maintained for rapid location
of information about student activities.
3. University Activities Coordinating, Listing and Scheduling
Committee:
A. Committee composed of Director of University Center,
Chairperson; Coordinator of University Center Operation;
University Center facilities Reservationists and
representatives from all student organizations.
B. To meet annually in the spring of the year with repre-
sentatives of all campus organizations for the purpose
of scheduling activities for the forthcoming year.
C. To provide to each organization a preliminary calendar
showing important fixed dates (i.e., academic dates,
athletic events, and other traditional programs and dates)
for the coming year.
