| Maintaining Credential Files | The Tennessee Board of Regents requires Career and Employment Services to maintain credential files consisting of teaching evaluations, letters of recommendation, reference letters, and transcripts for teaching and research candidates only. The files of candidates are maintained for five years from the last date of graduation or last date of attendance. To maintain a credential file, it is necessary for a student to notify Career and Employment Services and to forward appropriate material for their credential file to the office. It is the students' responsibility to obtain all records for their credential file including a transcript. An official transcript may be requested from the Transcript Office. Because of the confidential nature of credential files, students have the option to waive access to letters of recommendations (declare them confidential) that are forwarded to Career and Employment Services for their credential file. If a student has chosen to declare a file confidential by waiving access, its contents cannot be disclosed to the student nor can the student be allowed to read it. If the student does not waive access, the student may read the file within the office. The Records Release and Access Authorization Form requires a student signature before credentials will be released. (These regulations are in accordance with the Family Education Rights and Privacy Act of 1974 and Public Law 94-380). |
| Employer Procedures | Employers are urged to utilize Career and Employment Services in recruiting employees for their organization by calling the office directly or by contacting the Recruiting Coordinator by e-mail. |
