Student Family Housing Check-In/Check-out and Moving From One Apartment to Another

Policy Statement


 

A specific check-in and check-out time is arranged between the Assistant Area Coordinator or designate and the tenant for the benefit and protection of the resident and the University.  The apartment is examined and upon completion of this inspection, the Assistant Area Coordinator or designate and resident both sign the inventory form signifying their agreement regarding the condition of the apartment and its furnishings.

Procedures


Check In
  1. Check-In is scheduled by appointment with the Assistant Area Coordinator.  The resident and the coordinator will make a joint inspection of the apartment.
  2. The inventory form indicating the condition of the apartment and its furnishings is signed by both the resident and the Assistant Area Coordinator.
  3. Receipts for rent payment, utility service, and proof of marriage or guardianship are presented to the Assistant Area Coordinator.
  4. The Assistant Area Coordinator will provide two keys upon completion of check-in procedures.

Check Out
  1. Check Out is scheduled by appointment with the Assistant Area Coordinator. The resident and the Assistant Area Coordinator will make a joint inspection of the apartment.
  2. The inventory form is signed by the resident and the Assistant Area Coordinator indicating the condition of the apartment.
  3. Keys are turned in at the time of checkout.
  4. At the time of checkout, the apartment must be in satisfactory condition for the next occupant, or the vacating resident will be charged for the necessary repairs or cleaning required to return the apartment to satisfactory condition.
  5. Charges for returning an apartment to satisfactory condition, because of the resident's neglect, will be deducted from his/her deposit. If charges exceed this deposit, the resident will be billed.

Moving From a One-Bedroom Apartment to a Two-Bedroom Apartment

Residents are permitted to move from a one-bedroom apartment to a two-bedroom apartment based upon the following: (1) increase in family and (2) lack of demand from new applicants for assignment. Residents who move from a one-bedroom apartment to a two-bedroom apartment must make a written request to the Department of Residence life and Dining Services.

  1. When permission has been granted for moving from one apartment to another, the resident must sign a new lease, following the same procedure as upon first entering Student Family Housing.
  2. The resident must pay the rent differential prior to completing the move.
  3. The resident must arrange an appointment with the Assistant Area Coordinator for checking-out and checking-in.
  4. Memphis Light, Gas, and Water must be contacted to request a transfer of services before transferring.
  5. The resident is liable for rent at both apartments so long as the resident has possession of keys to both apartments.

Termination of Occupancy
  1. To terminate a lease, a student must submit a vacancy notice to the Student Family Housing Office at least thirty (30) days prior to vacating.
  2. To terminate a lease after the initial lease period has expired, a student must submit a written notice at least 30 days prior to move-out date to the Student Family Housing Assistant Area Coordinator. A tenant giving less than the required termination notice will be held responsible for 30 days rent from the date notification is received by the Assistant Area Coordinator. Failure to comply with the terms of the lease may result in forfeiture of the deposit.
  3. All residents are subject to the provisions of the University Student Code and disciplinary proceedings. Any violation may subject the students to disciplinary action and termination of the lease.
  4. Residents who do not maintain the necessary academic load should contact the Assistant Area Coordinator to make appropriate vacancy arrangements. Residents wishing to maintain less than the required hours and remain a resident at Student Family Housing, must request in writing permission from the Associate Dean of Students for Residence Life and Dining Services.
  5. A resident dismissed from the University will be required to vacate the apartment within 48 hours of notice of suspension.
  6. Students denied admission or readmission to the University will be required to vacate their apartment within ten days of notice from the University.
  7. Residents who voluntarily withdraw from the University during a semester will be required to vacate within thirty days after withdrawal.
  8. Residents who, because of graduation or other reasons, leave the University at the end of the semester must make the apartment available for reassignment within ten days after commencement exercises for the term.
  9. In the event of divorce, separation, or other situations creating ineligibility, a resident will be given a maximum of thirty (30) days to vacate the apartment. Any change in the family status, which would change eligibility status, is to be reported to the Assistant Area Coordinator within five (5) days of the occurrence.
  10. A written cancellation must be provided in all cases.
